Patient Services Representative
Pay: $14
Monday - Friday
Basic Function and Responsibility
Immediately upon arrival at the front office, the Patient Services Representative is responsible for:
- Turning on all front lights
- Unlocking the front door
- Checking both thermostats (ensure they are set to the same temperature)
- Turning on the TV (verify content is appropriate)
- Printing the daily schedule and marking:
- S = Show
- RS = Rescheduled
- NS = No-show
- C=Cancelled
- Verifying that patient paperwork has been completed online
Characteristic Duties
Initial Patient Arrival
- Greet and assist all patients as they enter the clinic
- Check-in patients, mark them as "Show" on the schedule
- Notify the physician when the first patient has arrived
- Copy all insurance cards
- Record the patient's arrival time on the day sheet
- Ensure all required paperwork is completed
- Notify the technician when the patient is ready
Documentation and Scanning
- Print online paperwork into ECR Vault and scan any hard copies
- Verify that registration paperwork matches the information in OfficeMate
Scan the following documents:
- Patient Registration (new)
- Patient Medical Form (ROS)
- Consent to Treat
- HIPAA Authorization
- Ensure the patient understands HIPAA policies
- We may only release glasses, contacts, appointment times, etc., to individuals listed on the HIPAA form
- Check both online and paper registration for HIPAA details
- HIPAA forms must be updated annually on January 1st
- Cancellation and No-Show Policy
- Explain our no-show policy: After two no-shows without prior notice (call or text), the patient will not be rescheduled
- They will be placed on a cancellation list and notified when we are able to work them into the schedule
Ongoing Daily Duties
- Walk through to the optical check-out area and ask if there is a folder of patient paperwork that needs to be scanned
- Contact no-show patients to attempt rescheduling and review the no-show policy
Other Duties
- Perform additional tasks as assigned
Applicant Requirements:
- Must have a clean background.
- Pass a drug screen.
