Job Duties:

• Greet clients and visitors in a professional and friendly manner
• Answer incoming phone calls and route them appropriately
• Manage incoming and outgoing mail, emails, and other correspondence
• Prepare and process insurance documents, forms, and applications
• Maintain organized electronic and paper filing systems
• Schedule appointments and manage calendars for agents or management
• Input and update client information into agency management systems
• Assist with billing, claims follow-up, and policy changes
• Coordinate meetings, prepare agendas, and take meeting minutes
• Order office supplies and ensure office equipment is properly maintained
• Provide administrative support to underwriters, claims adjusters, and other departments as needed

Job Requirements:

• Proficient in Microsoft Office Suite (Word, Excel, Outlook) and data entry systems
• Excellent organizational, communication, and time management skills
• Strong attention to detail and problem-solving abilities
• Ability to handle confidential information with discretion
• Customer service-oriented with a professional demeanor
